APC Integrated (“APC Integrated,” “APC,” “we,” “us,” or “our”) respects your privacy and is committed to protecting personal information. This Privacy Policy explains how we collect, use, disclose, store, and protect information when you interact with APC Integrated as an IT, cybersecurity, cloud, communications, artificial intelligence, automation, consulting, or related technology services provider.

This Privacy Policy applies when you:

  • visit our website;
  • contact us or request information;
  • communicate with us by phone, email, SMS, chat, support portal, or other channels;
  • use our products or services;
  • engage us for managed IT, help desk, cybersecurity, cloud, communications, backup, consulting, AI, automation, or related technology services;
  • interact with APC Integrated automated or AI assisted systems; or
  • otherwise engage with APC Integrated in a business or customer relationship.

By using our website or services, you acknowledge the practices described in this Privacy Policy. Where APC Integrated processes information on behalf of a business customer, that customer may be the controller or business responsible for the information, as described in Section 18.

Depending on how you interact with APC Integrated, we may collect different categories of information.

Contact and Business Information

We may collect information such as:

  • mailing or business address;

Where permitted by law, calls or other interactions may be recorded, transcribed, summarized, or analyzed for service delivery, quality assurance, training, security, documentation, or operational purposes. When legally required, appropriate notice or consent will be provided.

Payment Information

Payments may be processed by third party payment processors. APC Integrated may receive limited payment related information such as billing name and address, payment status, transaction amount, invoice number, and payment method type. We generally do not directly store full payment card numbers unless specifically required and appropriately secured.

2. Information Processed Through AI and Automated Systems

APC Integrated may use artificial intelligence and automated technologies in connection with our own operations and the services we provide. These technologies may include AI voice assistants, chatbots, transcription tools, summarization systems, workflow automation, AI agents, ticket assistance tools, Microsoft Copilot solutions, and other AI assisted support or productivity systems.

Depending on the interaction, these systems may process:

  • spoken or typed communications;
  • call transcripts and conversation summaries;
  • names and business contact information;
  • support requests and technical issues;
  • customer account or service information;
  • business process information;
  • documents or data voluntarily provided for a requested task; and
  • other information reasonably necessary to provide the requested IT, support, automation, or AI service.

AI assisted systems may rely on third party platforms, cloud providers, model providers, or software vendors acting on our behalf. We use such information for legitimate business and service purposes, subject to applicable agreements, security controls, and privacy obligations.

APC Integrated does not intentionally use customer confidential data to train public AI models unless specifically authorized by the customer or otherwise clearly disclosed and permitted by the applicable agreement.

3. SMS and Mobile Information

APC Integrated may offer customer care SMS messaging to individuals who request or consent to receive information by text message. Our SMS program is intended for APC Integrated business and customer care communications related to IT services, technology support, appointments, requested information, and other APC related inquiries.

SMS Consent

Acceptance of this Privacy Policy or our general Terms and Conditions does not, by itself, constitute consent to receive SMS messages. SMS consent is obtained separately and voluntarily.

Consent may be provided through an applicable opt in method, including explicit verbal consent during an active telephone conversation with APC Integrated. For example, if a caller requests IT service information, support information, appointment details, contact information, or another APC related follow up, an APC representative or automated system may ask whether the caller would like the requested information sent by text message.

SMS consent is not a condition of purchasing goods or services or continuing to receive assistance through other available channels.

SMS Information We May Collect

For SMS communications, we may collect:

  • mobile phone number;
  • SMS opt in or consent status;
  • message content;
  • STOP or other opt out requests;
  • HELP requests;
  • delivery and error information;
  • timestamps; and
  • interaction history.

SMS Privacy Commitment

Mobile phone numbers, SMS opt in information, and SMS consent data will not be sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt in data and consent will not be shared with any third parties for their marketing or promotional purposes.

We may disclose mobile information to service providers or subcontractors only as reasonably necessary to deliver requested messages, operate communications systems, provide technical services, maintain security, prevent fraud or abuse, or comply with law. Such providers are not authorized to use SMS consent data for their own marketing or promotional purposes.

Message Frequency and Charges

Message frequency varies based on your requests and interactions with APC Integrated. Message and data rates may apply depending on your wireless carrier and service plan.

4. How We Use Personal Information

  • schedule and coordinate services, projects, appointments, and follow up communications;
  • prepare proposals, quotes, contracts, and invoices;
  • process transactions and maintain financial records;
  • provide requested SMS, email, telephone, portal, or other communications;
  • monitor systems, investigate alerts, and maintain security;
  • detect, prevent, and investigate fraud, misuse, security incidents, or unlawful activity;
  • administer vendor and partner relationships;
  • improve service quality, operational efficiency, and customer experience;
  • comply with contracts, legal obligations, and regulatory requirements;
  • maintain business and audit records;
  • enforce agreements and protect legal rights; and
  • protect APC Integrated, our customers, users, employees, systems, and others.

Where required by applicable law, we rely on an appropriate legal basis for processing, which may include consent, performance of a contract, legitimate business interests, or compliance with legal obligations.

5. How We Share Information

APC Integrated does not sell personal information in the ordinary sense of selling customer data for money. We may share information with trusted service providers, vendors, subcontractors, and professional advisers when reasonably necessary to operate our business or provide services.

  • cloud and hosting providers;
  • software and SaaS vendors;
  • telecommunications and communications platforms;
  • cybersecurity, monitoring, and backup providers;

For clarity, mobile phone numbers, SMS consent, and SMS opt in information are not shared with third parties or affiliates for marketing or promotional purposes, and text messaging originator opt in data and consent are not shared with third parties for their marketing or promotional purposes.

We may disclose information where reasonably necessary to:

  • comply with applicable law, regulation, subpoena, court order, or government request;
  • enforce agreements or protect legal rights;
  • investigate suspected fraud, misuse, or security incidents;

  • protect APC Integrated, our customers, users, employees, or others.

7. Business Transfers

Customer care SMS consent does not automatically constitute consent to receive unrelated marketing SMS messages. SMS opt in information will not be sold or shared with third parties or affiliates for their marketing or promotional purposes.

As a technology and cybersecurity provider, APC Integrated takes information security seriously. We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, use, alteration, disclosure, or destruction.

Safeguards may include, as appropriate:

  • identity and access controls;
  • authentication and multifactor authentication;
  • encryption;
  • endpoint protection and monitoring;
  • network security controls;
  • logging and security alerting;

No method of electronic transmission, processing, or storage can be guaranteed to be completely secure. Accordingly, APC Integrated cannot guarantee absolute security of information.

Retention periods vary depending on the type of information, the services involved, applicable agreements, and legal or regulatory obligations.

Certain information may be exempt from a request where permitted by law, including information needed for security, legal, contractual, or recordkeeping purposes.

14. U.S. State Privacy Rights

Residents of certain U.S. states may have additional rights under applicable state privacy laws. Depending on the law and whether it applies to APC Integrated, those rights may include the right to know or access categories or specific pieces of personal information, request correction or deletion, obtain a portable copy of certain information, opt out of certain sales or sharing, or appeal certain decisions.

APC Integrated does not sell mobile phone numbers, SMS opt in information, or SMS consent information for marketing or promotional purposes.

Where a state privacy law applies, requests may be submitted using the contact information in Section 22. We will respond in accordance with applicable law.

15. Children’s Privacy

APC Integrated services are primarily intended for businesses and adult users. We do not knowingly collect personal information from children under 13 through our website without appropriate authorization. If we learn that we have collected a child’s personal information inappropriately, we will take reasonable steps to delete it.

16. Third-Party Websites, Platforms, and Services

Our website and services may contain links to or integrations with third party websites, software, platforms, cloud services, or other technologies. APC Integrated is not responsible for the privacy practices of independent third parties. You should review the privacy policies and terms of applicable third parties before providing information or using their services.

17. International Processing

Some service providers used by APC Integrated may process information in locations outside your state or country. 18. Customer Data Processed on Behalf of Business Clients

In many managed IT, cloud, cybersecurity, communications, support, AI, and automation engagements, APC Integrated may process personal information on behalf of a business customer in order to provide contracted services.

For such information:

  • the business customer may determine the purposes and means of processing;
  • APC Integrated may act as a service provider, processor, contractor, or similar role under applicable law;
  • the customer’s agreement with APC Integrated may govern our processing obligations;
  • the customer’s own privacy policy may govern its relationship with the affected individual; and
  • APC Integrated will process the information in accordance with applicable agreements, instructions, and legal obligations.

Individuals with questions or privacy requests concerning information controlled by an APC Integrated customer should generally contact that customer directly. Where appropriate, APC Integrated may assist the customer in responding to such requests.

19. Employee, Applicant, Contractor, Vendor, and Business Contact Information

APC Integrated may process professional or employment related information relating to employees, job applicants, contractors, vendors, business partners, prospects, and customer personnel. Such information may be used for normal business communications, relationship management, recruitment, service delivery, account administration, security, compliance, and other legitimate business purposes.

20. Do Not Track and Privacy Preference Signals

Some browsers offer “Do Not Track” signals. There is not currently a universally accepted standard governing how all websites should respond to these signals. Where required by applicable law, APC Integrated will recognize and respond to legally required privacy preference signals or mechanisms.

21. Changes to This Privacy Policy

We may update this Privacy Policy periodically to reflect changes in our services, technologies, business practices, legal requirements, or regulatory obligations. When changes are made, we will update the “Last Updated” date at the top of the policy. Material changes may also be communicated through appropriate channels where required by law.
